GlasPacLX to Quickbooks IIF Integration Process Follow


There are two portions to the IIF integration. First the invoices need to be exported from GlasPac into a file QuickBooks can read and second, the file is imported into QuickBooks. It is recommended to run this integration at least every few days.


Export Process

There are two ways to open the IIF Accounting Integration program in GlasPac:

  1. Click Accounting at the top of the GlasPacLX screen, and select Start Accounting Integration Program from the menu.


  2. Click on the Green dollar sign ($) button at the top of the GlasPacLX screen

Once the Account Integration window opens, either click on Import/Export > Export GlasPacLX Invoices to IIF (QuickBooks) or click on the Arrow icon.

Click on the New Count line under the Branch name.

You will now have a list you can review of all the transactions that are available to export. You can check or uncheck desired transactions in this window, all transactions that are checked will be included in the export when you click the Export Selected button.

After you have exported the selected invoices, your new count will now display 0 (unless you did not export all invoices) and you will have a new batch with Today's date. You are now finished with the Accounting Integration tool. Click the Close Export button to exit.

Minimize GlasPacLX to access the desktop.  Open the ACCDATA folder, and then open the Xfer folder.

Inside of the Xfer folder you will find the Invoices.iif file that you just created.  It should have today's date in the Date modified field.

Hold your mouse over the Invoices.iif file until it becomes highlighted blue.  Do not click on the file.

On your keyboard, hold down the Ctrl key and tap C to copy the file to the clipboard.

Minimize the GTS Online window using the bar at the top of the screen.

On your local computer's desktop, hold down the Ctrl key and tap V to paste the Invoices.iif file to your local machine.

If you already had a file called Invoices.iif on your desktop, you will get a message asking if you want to replace the file.  Select Copy and Replace.


Import Process

Open QuickBooks and sign in to your company file.

Select File > Utilities > Import > IIF Files...

Browse to your desktop file location, and select Invoices.iif.  Click the Open button.

Wait for the Loading Bar to run and then notify you that you data has finished importing.

To verify that your data has imported correctly, select Reports > Memorized Reports > LX Daily Sales.  This report can be compared to the Daily Sales report in GlasPacLX.

If you have cash sales or invoices with payments, you will need to match the payments to the invoices.  In QuickBooks, click on Reports > Customers & Receivables > Open Invoices.

Once the report opens, click on the Customize Report button.  Select the Filters tab, and locate the Transaction Type filter.  Select Payment as the transaction type in the drop down box.  Click the OK button to refresh the report.  This change will display all payments that are not currently linked to an invoice or cash sale.

Double-click on the payment from the report to open it in QuickBooks

Locate the invoice in the list with the matching number and amount.  Place a check mark next to the invoice and click the Save & Close button.
