Where do I setup manual and automatic notifications? Follow

Overview

Automatic Emails

Emails that are automatically sent, will be sent via the Com App to the correct email, when the appropriate milestone is reached (ie: a job is quoted, completed, etc.).

Emails that are automatically sent, are noted as “Automatic” in the branch settings:

Automatic emails include:

  • Customer: Quote – email is automatically sent to the customer email address when a Quote is saved.
  • Recommendations: You could include customer info, vehicle info, the quote amount, quote # for reference, and contact info for scheduling the work.
  • Customer: Workorder – email is automatically sent to the customer email address when a Workorder is saved.
  • Recommendations: You could include customer info, vehicle info, cost, order # for reference, and a thank you for their business.
  • Customer: Job Complete – email is sent automatically to the customer email address once they job is marked as “Completed” in LX (or by the mobile installer).
  • Recommendations: You might include a thank you, promo for future work, or a way to provide feedback on the work completed (ie: link to a survey or website).
  • Agent: Quote – email is automatically sent to the agent (or agent referral) email address when a Quote is saved.
  • Recommendations: You could include the insured’s information, vehicle info, the quote amount, and a quote # for reference.
  • Agent: Workorder – email is automatically sent to the agent (or agent referral) email address when a Workorder is saved.
  • Recommendations: You could include the insured’s information, vehicle info, cost, and an order # for reference.
  • Agent: Job Complete – email is sent automatically to the agent (or agent referral) email address once they job is marked as “Completed” in LX (or by the mobile installer).
  • Recommendations: Include a thank you to the agent, and let them know that the work for their insured has been completed.

Manual Emails

Emails that are manually triggered will require a LX User (ie: CSR or dispatcher), to review a list of emails and manually send them. They will be triggered and added to a queue that can be sent or ignored on an email by email basis.

Manual emails include:

  • Customer: Quote Follow Up – email is added to the queue for any open quotes left in the system. You can review and send follow up emails for open quotes over a date range (ie: all open quotes from last week, month).
    • Recommendations: Include a friendly reminder about the quote, vehicle info, quote amount, quote # for reference, and contact info for scheduling the work.
  • Customer: Schedule Reminder (Mobile) – email is added to the queue once the order has been scheduled and the job is designated as a “mobile” job. You can review and send follow up emails for scheduled work once the schedule is finalized for specific orders or a specific day (likely next day’s work or same day).
    • Recommendations: Include a schedule reminder (date / time / install address), vehicle info, installer info, driveaway time.
  • Customer: Schedule Reminder (In Shop) – email is added to the queue once the order has been scheduled and the job is designated as a “in shop” job. You can review and send follow up emails for scheduled work once the schedule is finalized for specific orders or a specific day (likely next day’s work or same day).
    • Recommendations: Include a schedule reminder (date / time / branch address), vehicle info, and any info about drive away time.

Send Email Notifications

For the manual emails, once an order has met all above criteria, it will be added to the email queue. To review the queue and send (or ignore) emails – in LX go to: Orders > Send Email Notifications:

Reviewing Email History

Once you begin using the email notifications functionality in LX, you will have the ability to review an order’s email by clicking on the history button on the order’s General Info (F8) tab.
